About the Role
Under the direction of the Head of Real Estate, the Facilities & Safety Supervisor is responsible for co-developing, executing and monitoring the efficacy of the PACE Center facilities maintenance and safety plans. The individual in this role will work closely onsite with the Center Director and staff at various levels to ensure the safety and well-being of participants, staff, and visitors within the facility.
Responsibilities
Facilities:
- Performs duties & responsibilities maintaining compliance with regulatory requirements, organizational policies and procedures, and quality initiatives.
- Manages the upkeep of PACE facility, including building repairs, HVAC systems, plumbing, electrical, plumbing, electrical systems and landscaping.
- Manages environmental factors within PACE facilities to promote a healthy and safe environment for participants and staff. This includes pest control and waste management.
- Coordinates maintenance and repair work with external contractors or internal staff and supervises staff performing maintenance/repairs.
- Ensures that contracted and internal staff adhere to proper cleaning procedures, including alignment with manufacturer and infection control standards.
- Conducts facility rounding assessing for maintenance needs. Maintains facility cleaning schedule for interior and exterior areas of facility.
- Provides a range of administrative, installation, purchasing, and scheduling duties.
- Coordinating with external vendors and contractors for facility maintenance, repairs, and security services. This includes negotiating contracts and ensuring that services meet PACE standards.
- Oversee installations such as office furniture, signage and space moves.
- Scheduling and logistics management is a cornerstone of this position.
- Maintain records/logs of repairs and fixes and maintenance schedule.
- Other duties as assigned.
- Ensures that all PACE facilities adhere to safety regulations and standards set by CMS, DHCS and other relevant authorities. This might involve conducting regular safety inspections and audits.
- Facilitates monthly safety committee meetings.
- Monitors company safety programs to ensure a safe, healthy, and accident free work environment.
- Provides training to PACE staff on safety protocols, emergency procedures, and relevant compliance requirements to promote a culture of safety throughout the center.
- Provides safety education to participants at participant advisory committee meetings.
- Co-develops and implements emergency response plans e.g. fire drills to address various scenarios, such as fires, natural disasters, or medical emergencies. This includes training staff on emergency procedures.
- Conducts accident Investigations, safety inspections and training as needed.
- Maintains record of equipment inventory and equipment calibration schedules, scheduling annual calibrations and repairs as needed.
- Monitors for compliance with infection control plan, ensuring timely reporting of issues and corrective action.
- Enforce all company policies and procedures in compliance with local, state, and Cal-OSHA rules and regulations
- Keep records of safety-related incidents and propose corrective actions as needed
- Oversees security measures to protect PACE facilities, participants, staff, and assets. This could involve installing security systems, coordinating with security personnel, and monitoring for potential risks.
- Ensures compliance with arrival and exit procedures.
- Oversees contracted security guards
- Oversees physical security badge access control system and CCTV to ensure operations
- Ensures visitors and participants have controlled access to pre-authorized areas of the facility and issues ID badges to new employees during onboarding.
- Oversee burglar alarm system to ensure proper operations.
- Monitor building occupancy levels to ensure compliance with fire life safety, infection control and building code requirements.
Qualifications
- 3 years relevant experience
- Demonstrated ability to develop and implement safety policies, procedures, and training programs.
- Knowledge of cleaning methods and equipment.
- Basic understanding of the upkeep and care of equipment.
- Excellent organizational skills with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
- Strong communication, interpersonal, and leadership skills with the ability to collaborate effectively with interdisciplinary teams.
- Project management experience
- Ability to read and interpret instructions, procedures, manuals, and other documents.
- Ability to report and record maintenance requests.
- Bachelor's degree in healthcare administration, occupational health and safety, public health, or a related field.
- Previous experience in healthcare facility safety management, risk management, or regulatory compliance preferred.
- Knowledge of federal, state, and local regulations governing healthcare facility safety, including OSHA, NFPA, and CDC guidelines.
- Advance understanding of mechanical, electrical and plumbing systems
- Knowledge of tech systems to keep records accurate and up to date.
- Previous experience working with maintenance record systems preferred.
- Proficiency in Microsoft Office suite and other relevant software applications for safety management and reporting.
- Understanding of cleaning compounds and chemicals, and their safe, efficient use.
- Certifications required within 30 days of hire: CPR/AED, and First Aid.
- OSHA-10 or 30 Training
- Certified Facility Manager (CFM) credential or equivalent
- Prolonged periods of standing and walking the facility
- Must be able to lift up to 20 pounds at a time
- Must be able to bend, lift, stretch, climb
Location
- Onsite in Alhambra, CA / Los Angeles strongly preferred.
- On-call during weekends , evenings and holidays, only as needed, in response to facility emergencies.
