Position Overview: We are seeking a highly organized, proactive, and reliable Personal and Executive Assistant to provide comprehensive support in managing day-to-day activities. The ideal candidate will possess excellent communication and organizational skills, an enthusiasm to provide high quality work, maintains a high level of discretion, and the ability to self-prioritize tasks in a fast-paced environment.

Key Responsibilities:

1. Calendar Management:

- Schedule and manage appointments, meetings, and events, ensuring optimal time utilization.

- Coordinate and confirm schedules, including rescheduling as needed.

- Provide reminders and prepare agendas for upcoming commitments.

2. Email and Correspondence Management:

- Monitor, sort, and prioritize incoming emails.

- Draft, edit, and respond to correspondence on behalf of the CEO.

- Organize and maintain electronic and paper files.

3. Errands and Personal Tasks:

- Handle shopping, pick-ups, deliveries, and other errands as requested.

- Assist with household management tasks, such as coordinating maintenance or repairs.

- Research and purchase items for personal or professional needs.

- Track receipts and pay invoices as necessary utilizing company or personal accounts.

4. Travel Coordination:

- Arrange travel itineraries, including packing lists, flights, accommodations, and transportation.

- Prepare detailed travel schedules and handle any last-minute changes or cancellations.

- Book and manage all travel arrangements, ensuring seamless and efficient travel experiences.

- Register for conferences and events including booth details and coordination of individual employee registration.

- Traveling with the CEO to conferences and events as required.

- Coordinate and host company open house events.

- Drive the CEO to local events, the airport, and other necessary locations as required.

5. Meeting Support:

- Take notes during meetings and provide summaries as needed.

- Assist with preparing presentations or documents.

6. Executive Support:

- Assist with high-level administrative tasks, such as preparing reports and managing confidential documents.

- Coordinate with other team members and departments to ensure alignment on executive priorities.

- Conduct research and compile information for decision-making purposes.

- Research and report on key stakeholders to support strategic initiatives.

7. Communication Liaison:

- Act as the first point of contact for internal and external parties.

- Maintain a high level of professionalism in all communications.

8. Task and Project Management:

- Act on the CEO's behalf to track and ensure progress on various projects and deadlines.

- Proactively identify areas where support is needed and take initiative to address them.

9. Social Media Management:

- Manage the CEO’s personal social media accounts in coordination with the Social Media Specialist as needed, ensuring professional and engaging online presence.

- Draft and schedule occasional posts, monitor comments and messages, responding promptly, emulating the voice of the CEO and maintaining a positive online presence.

- Update CEO's personal website as necessary.

Qualifications:

- 1-2 years of experience serving as an Executive Assistant.

- Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.

- Excellent organizational and multitasking abilities.

- Demonstrated detail orientation and a high priority on high quality in all aspects of work.

- Ability to receive constructive criticism and learn from mistakes quickly and thoroughly.

- Strong verbal and written communication skills.

- Proficiency in office software (e.g., Microsoft Office Suite, Teams, Google Workspace).

- Ability to maintain confidentiality and exercise discretion.

- Valid driver’s license and reliable transportation.

Preferred Skills:

- Experience with travel planning tools and expense tracking.

- Familiarity with task management software (ClickUp).

- Ability to adapt quickly to new technologies and processes.

Work Environment: This role requires working in person with the CEO or his current assistant most of the time. Remote work will be limited. Availability after hours and on weekends will be necessary. Travel may sometimes be required. Flexibility in working hours and the ability to handle requests requiring immediate attention is essential.
