Job Summary

The MycoWorks Executive Assistant/Office Manager plays a vital role in making MycoWorks an epic place to work. This person will coordinate the schedules of the COO, CFO, Chief Legal Counsel as well as manage executive meetings, visits, tours, and Board Meetings. Additionally, as the Union Office Manager, this is the person that our employees, leaders, guests and visitors will rely on to ensure our office runs smoothly, efficiently and with a lot of heart, creating the systems and standards we’ll use to launch offices at our future locations. This is an onsite role at our office and manufacturing plant in Union, SC.

Responsibilities

  • Plan, coordinate, and facilitate domestic and international travel, meetings, and logistics
  • Prioritize and manage multiple requests for the C-Suite's time, escalating as needed for resolution.
  • Manage multiple expense accounts
  • Manage multiple calendars
  • Anticipate C-Suite members needs and ensure that the office environment is seamless throughout the day
  • Anticipate office and new site needs, implementing scalable solutions
  • Thrive in a fast-paced, ever-changing environment, performing other duties and special projects as assigned
  • Serve as the point of contact for office-related inquiries from employees and visitors
  • Handle day-to-day site needs for personnel, facilities, and logistics at the Union manufacturing plant.
  • Point person for tours, events, visitors and vendors at Union manufacturing plant
  • Assist in planning and coordinating office events, Board Meetings, Investor Visits and Executive events
  • Support the People team in producing, scheduling, and communicating employee events and experiences, including onboarding.
  • Promote cross-functional alignment within the organization and help create and maintain communication within the team and broader org
  • Create presentation materials and lead various meetings, functions, and events, including quarterly retreats and team-building offsites
  • Create and manage office budgets, spending trends, and cost savings plans/ideas
  • Manage incoming packages and mail organization, including sending and receiving.
  • Ensure meeting room schedules are organized, and office equipment is maintained.

Qualifications

  • 5-7 years of experience performing executive administrative support duties, with a strong self-starter attitude and limited need for supervision.
  • Emotionally intelligent and a strong communicator (both verbal and written) with acute attention to detail
  • Proactive problem solver, anticipating problems and needs of the C-Suite while maintaining high levels of confidentiality.
  • Creative and flexible, with the ability to work outside normal business hours when necessary.
  • Excellent calendar management skills, including coordinating complex meetings across multiple time zones.
  • Proficient in G Suite and Zoom.
  • Experience in 2+ startup ventures and a manufacturing environment preferred
  • Able to work with people of all levels within the organization, demonstrating strong communication skills (written, verbal, and active listening).
  • Able to maintain strict confidentiality
  • Deadline- and detail-oriented, with a strategic approach to planning and optimizing systems for organization, inventory, communications, and recurring purchases and responsibilities.
