We are on a steep growth curve and are looking for a Building Operations Associate / Property Coordinator to join our team in Berlin where you will play a crucial role in the management of our property portfolio in Germany. Your responsibilities will encompass a wide range of tasks, including overseeing properties, maintaining positive relationships with tenants and landlords, managing finances, and ensuring operational efficiency. Your responsibilities
Portfolio Management:
- Oversee a designated portfolio of properties across Germany, managing all aspects to ensure comprehensive 360° property management.
- Conduct regular property inspections to maintain high-quality standards and coordinate necessary maintenance activities.
- Support sales activities by conducting site visits with potential tenants, providing tours, and highlighting key features of each property.
Tenant & Landlord Relations:
- Cultivate and maintain positive relationships with tenants, ensuring a great experience by addressing concerns and resolving issues promptly.
- Act as the primary point of contact for landlords, providing excellent communication and addressing concerns proactively.
- Negotiate lease extensions and renewals with landlords in a timely manner.
Financial Management:
- Develop and manage property budgets, monitor expenses, and ensure profitability by forecasting requirements and analyzing variances.
- Collect accounts receivable, handle operating expenses, and analyze utility costs to optimize spending.
- Accomplish financial goals and report regularly on financial performance for the property portfolio.
Vendor & Personnel Oversight:
- Coordinate external maintenance providers to ensure timely repairs, maintenance, and service requests are completed to a high standard.
- Oversee property personnel, assess performance, and work with vendors to ensure efficient operations and compliance with safety regulations and building codes.
Operational Excellence & Compliance:
- Ensure all properties comply with relevant safety regulations, building codes, and company policies.
- Analyze operational processes, propose improvements, and contribute ideas to enhance revenue and customer satisfaction.
Your qualifications
- Completed apprenticeship or formal training in real estate or property management.
- 1-2 years of property management experience, ideally within residential, co-living, or commercial real estate.
- Solid understanding of residential and commercial tenancy laws, as well as core property management principle.
- Professional fluency in both German (C1 level) and English is essential for effective communication with tenants, landlords, and team members.
- Excellent communication and interpersonal skills with a customer-centric mindset and the ability to engage with a diverse range of stakeholders.
- Strong negotiation and conflict resolution abilities.
- Proficient in Microsoft Office Suite, with experience in CRM tools (Salesforce) and ticketing systems (Freshdesk) being a plus.
- Proactive, self-motivated, and capable of working independently and as part of a team.
- Detail-oriented, organized, and able to multitask and prioritize effectively in a fast-paced environment.
- High resilience, structured thinking, and a results-oriented approach, with a strong sense of ownership and accountability.
