Office Manager / Assistant (Part-time, On-site)

We are on a steep growth curve and are looking for a highly organized and proactive Office Manager / Assistant to help keep our centrally located Lisbon office running smoothly. If you thrive in a hands-on role and enjoy working in a fast-paced environment, we’d love to meet you!

Office Management:

  • Oversee day-to-day operations to ensure the office is organized and fully stocked (ordering drinks, snacks, and office equipment).
  • Manage office bills, post, and vendor relationships.
  • Ensure the office is always presentable, clean, and welcoming for staff and visitors.
  • Welcome guests, handle inquiries, and maintain a positive atmosphere in the office.
  • Support in organizing team events and after-work activities.
  • Assist in People initiatives and HR administrative tasks.

Assistant:

  • Manage and organize the CEO’s calendar, coordinating meetings and appointments.
  • Ensure smooth scheduling of internal and external engagements.
  • Assist with administrative tasks, such as delivering documents to the notary and managing paperwork.
  • Perform ad-hoc tasks as required to support the CEO’s day-to-day work.

Your Qualifications

  • 1-2 years of experience or proven experience in office management and assistant roles. Experience in Human Resources is an advantage.
  • Fluent in English and Portuguese (B1). Italian and other languages are a plus.
  • Strong organizational skills and attention to detail.
  • A welcoming and friendly attitude, with the ability to engage with people in a professional and positive manner.
  • Hands-on and proactive mindset, with the ability to take initiative and handle multiple tasks independently.
  • Ability to work 4-5 days per week in the office (part-time, 20 hours).
