About The Opportunity:
The Bid Coordinator supports the development of responses to formal tender requests and proactive bids independently and in support of other bid team members. The position coordinates all components of the response, helps write new content, edits existing information and assembles all documents needed to complete the bid.
You may also assist Bid Managers with development of more complex, multisolution proposals, including understanding and articulating win themes and Iron Mountain’s value proposition. For assigned solutions, lead bid initiatives in line with defined processes and best practices, identifying appropriate content and content gaps and ensuring the timely submission of accurate, compliant responses. A key responsibility will be helping to dissect completed bids for new and revised content that can be added to the team content management platform.
This role will be based in France and will be primarily a home working role.
Key Accountabilities:
Provide timely, professional and customer-centric responses using a variety of tools including a content management system, intranet and cloud-based resources.
Collaborate with Bid Managers and leadership to successfully establish priorities and execute deadlines for large multinational or complex tenders.
Coordinate formatting, graphics, editing and other document management activities throughout the bid process.
Consolidate input from a variety of stakeholders into the required tender format, working with sales, solution experts, pricing, legal, implementation and other key stakeholders. Influence team members to meet assignment obligations without direct authority.
Manage the bid process of mid-market commercial and public sector opportunities, including identifying appropriate resources to engage and coordinating assignments. This involves developing and tracking a bid schedule aligned to customer deadlines and other key milestones.
Participate in draft reviews and provide guidance related to clarity, completeness, compliance and alignment with solution, win strategy and evaluation criteria.
Serve as backup to the bid manager when he/she is not available to lead status calls or answer questions.
Ensure bid documents adhere to corporate brand, customer requirements, formatting and quality standards.
Contribute new and updating existing regional content to the proposal library. This includes Q&A pairs, commonly used documents and graphics.
Qualifications:
Native Fluency in French and C1/C2 level English is required for this role
Minimum two years experience in Bid Management coordinating bids for the public sector and/or commercial markets
Ability to prioritise and multitask within a fast-paced, challenging and deadline-driven environment
Excellent writing and editing skills with ability to understand key themes and messages
Ability to set priorities for others and drive progress toward a shared goal with a diverse group of stakeholders and within agreed upon timelines
Proficiency in MS Office, Google Suite and Adobe Acrobat
Desirable to have familiarity with content management systems
Familiarity with Information management and the value of data driven solutions.
