Position Summary

The Imaging Operations Supervisor for Digital Solutions is responsible for the delivery of services in one or more of Iron Mountain’s Digital Solutions operations. The role is office based and will have direct responsibility for operational teams and will ensure operational best practices are in place and followed to ensure timely, accurate, and efficient delivery of services to Iron Mountain’s customers.

Responsibilities

Service Delivery

The Supervisor will be responsible for the performance of the Digital Solutions Operations under remit. This performance includes meeting customer service level agreements that are typically based on quality and timeliness of delivery. The Supervisor motivates, mentors, and empowers the team to meet and exceed these imaging quotas and quality standards. To achieve this, the Supervisor will hold daily start up meetings, as well as perform daily observations and walkthroughs to ensure clear communication and coaching of employees to personally recognize high performers and quickly remove obstacles to achieving team goals. The Supervisor will also use metrics to measure operational effectiveness and drive accountability of the entire team to consistently meet key performance indicators.

Execution

The Supervisor will also be responsible for building weekly plans to achieve key performance indicators and meet project profit margin goals. The Supervisor is also responsible for monitoring production capacity and adherence to workflows. The Supervisor will lead the operations team to deliver on the plan and identify corrective actions when forecasts are not delivered and financial performance needs improvement. The Supervisor is also responsible for reviewing daily reports to identify areas of opportunity and make timely adjustments. The Supervisor will partner with Operations Manager to provide accurate financial forecasts for revenue and controllable expenses both in the short and near term.

Safety and Security

The Supervisor is responsible for the daily safety and security of all Employees, the facility, and customer material. The Supervisor needs to ensure that Iron Mountain safety and security policies are followed day in and day out to keep employees injury free, facilities secure and customer material confidential. Safety or security concerns observed or reported must be acted upon immediately.

Training, Talent Development and Morale

The Supervisor will have up to 20 direct reports consisting mostly of Imaging Specialists and Coordinators. The Supervisor is responsible for ensuring that all employees are properly trained and that goals are clearly communicated on a daily basis. The Supervisor is also encouraged to find opportunities for development through cross-training. The Supervisor conducts annual performance appraisals but is also responsible for providing timely feedback and corrective feedback on performance during walkthroughs and other interactions. The Supervisor needs to ensure fairness and accountability for all employees in terms of performance expectations, attendance, and general policy application.

The Supervisor is also an advocate for all team members. The Supervisor needs to ensure open, two way communication in daily start up meetings and walkthroughs and all everyone to to raise ideas and concerns. Follow up to feedback must be timely and escalated to senior management as needed. Supervisors are encouraged to celebrate achievements and recognize hard work and strong performance in daily start ups and with employee events,

Skills and Experience

  • High school diploma or equivalent minimum, college degree preferred

  • Two years minimum prior supervisory experience in a production environment

  • Demonstrated ability to train, coach and lead a team to achieve operational and other business goals.

  • Excellent written and verbal communication skills, particularly with communicating one on one and in team meetings with frontline production employees

  • Ability to respond quickly as customer issues arise and communicate effectively with customer as needed

  • Demonstrated ability to interpret reports and use metrics to measure operational effectiveness and drive accountability

  • A minimum of two years of computer experience in the Google Apps environment or Windows equivalents with proficiency in creating and working with spreadsheets

  • Active participation in the operations, support, and maintenance of all aspects of imaging practices within prior organization

  • Experience troubleshooting and promptly addressing workflow, equipment and other obstacles to effective performance

  • Demonstrated ability to ensure processes and procedures are in place to meet Iron Mountain’s security policies and controls related to imaging

  • A professional demeanor and fair management practices as outlined by Iron Mountain’s core values are a must

  • Multilingual with business level and local language(s) and English required

  • Kofax knowledge is a plus

  • Prior document imaging experience is a plus
