ROLE DESCRIPTION

Reports To: Angela Aggelatos, Executive Assistant to the Co-Founders

Location: New York Office: 131 Varick, PH / 11th Floor, New York, NY 10013

ROLES & RESPONSIBILITIES

As the ByHeart NYC Office Manager, you will be responsible for maintaining a positive and organized work environment for our New York team. This role requires acute attention to detail as well as intuitive problem solving for a bustling office with lots of moving parts. With a strong understanding of the ByHeart brand, mission, vision, and values, you will:

  • Monitor, order, and restock all office supplies
  • Manage all vendors (e.g. maintenance, electrician, etc.) to keep the office clean and safe, and ensure all appliances are in good working order
  • Coordinate with IT to ensure all audio video systems are working properly
  • Provide direct administrative support as needed such as tidying office space, coordinating onsite meetings, and greeting guests
  • Receive and sort incoming mail and deliveries, and manage outgoing mail and shipments as needed
  • Restock pantry items as they are delivered and monitor inventory
  • Facilitate catered team lunch setup and breakdown
  • Coordinate meal deliveries and pick-ups when requested
  • Perform routine cleanouts: maintaining an organized café, supply closets, etc.
  • Keep inventory of all ByHeart swag
  • Support office branding efforts as requested, e.g maintaining family photo wall
  • Manage in office event RSVPs/attendance as well as set up and breakdown
  • Report on office events and happenings via slack to the ByHeart team
  • Able to arrive early/stay late when needed (will always give notice as to when)
  • Maintain a positive rapport in the ByHeart office and energize the team to participate in events

SKILLS AND RESPONSIBILITES

  • 1-2 years experience as an office manager
  • Available to work up to 12 hours a week, days/times will be determined by your manager
  • Must possess strong attention to details
  • Must be a proactive team-player in cross-functional teams with the ability to thrive in a dynamic, fast-paced, work environment

The hourly pay range is from $25 - $40/hr.
