We are seeking a highly organized and proactive Executive Coordinator to join our London office. This role involves a blend of operational responsibilities, including managing trade shows and events across the EMEA region, providing comprehensive administrative support to the General Manager of the UK team, and assisting the London-based Business Development (BD) team with operational support. Additionally, this role will be instrumental in assisting with European business development operations, including internal communications, status updates, and deal tracking processes.
Key Responsibilities:
- Administrative Assistance to the General Manager:
- Provide direct administrative support to the General Manager, including calendar management, travel arrangements, expense reporting, and correspondence.
- Organize and prepare materials for meetings and presentations.
- Act as a point of contact for internal and external stakeholders on behalf of the General Manager.
- Trade Show and Events Management:
- In coordination with the HQ-based Events teams, plan, coordinate, and manage all aspects of trade shows across the EMEA region.
- Collaborate with marketing, sales, and product teams to ensure a cohesive presence at trade shows.
- Manage budgets, timelines, and logistics for each event.
- Evaluate and report on trade show outcomes and ROI.
- Business Operations Support:
- Assist the London-based BD team with operational tasks such as scheduling, coordinating meetings, and preparing materials.
- Support the European business development operations through maintaining internal communications, collating status updates, and facilitating deal tracking processes.
What We’re Looking For:
- Proven experience as an Executive Assistant, Events Manager, or similar role.
- Excellent organizational skills with the ability to manage multiple tasks and projects simultaneously.
- Strong communication skills, both written and verbal, with the ability to liaise with stakeholders at all levels.
- Experience with budget management and event planning.
- Proficient in Microsoft Office Suite and experience with project management tools.
- Ability to work independently and as part of a team in a fast-paced environment.
- Attention to detail and problem-solving skills.
Requirements:
- Minimum of 5 years in an executive support role and/or event management, preferably within a technology or business development context.
- Right to work in the United Kingdom.
- London-based position, working out of our UK HQ.
- Flexibility to travel within the EMEA region as required.
- Fluency in English, with additional European languages a plus.
- This is a full-time, on-site role, based in our London office.
Preferred:
- Bachelor's degree in business administration, communications, a related program, or a proven track record in this field.
The salary range for this role is an estimate based on a wide range of compensation factors, inclusive of base salary only. Actual salary offer may vary based on (but not limited to) work experience, education and/or training, critical skills, and/or business considerations.
